Portside Vet Care will comply with the Australian Privacy Principles when collecting, handling, disclosing and storing personal information.
Our clients’ privacy is important to us. We will not publish client names in connection with any personal information provided without permission.
If certain personal information is not provided, we may not be able to provide our services. If personal information is provided to us, we will protect it in accordance with the Australian Privacy Principles.
What Is Personal Information?
Each time a client contacts us, personal information may be provided about yourself, an owner and/or a patient that we may need to use to provide our services.
The term ‘Personal Information’ means information from which one’s identity is reasonably apparent. This may include your name, address, telephone number, email address, occupation, previous veterinary clinics or pet’s name.
This Personal Information may include information or an opinion about you, or your credit information.
What Personal Information Do We Collect?
Portside Vet Care may collect the following Personal Information:
name
  • mailing or street address
  • email address
  • telephone number
  • previous veterinary clinic(s) and contact details
  • pet’s species, breed, name, weight, sexor age
  • pet’s presenting problems and history
  • details of the services you have purchased or enquired about, or any additional information necessary to deliver those services or respond to enquiries.
We may also collect information that is not Personal Information because it does not identify you or anyone else. For example, we may collect anonymous answers to surveys or aggregated information from website analytics.
Why Do We Collect Your Personal Information?
We only use or disclose your Personal Information for the primary purpose of our business or purposes related to our business activities which include but are not limited to:
  • performing our business activities and functions
  • providing the best possible quality of customer service
  • providing products and services
  • sending communications as requested
  • answering enquiries
  • providing information or advice about existing and new products or services
  • conducting business processing functions
  • administrative, marketing (including direct marketing), planning, product or service development, quality control and research purposes
  • updating our records and keeping contact details up to date
  • responding to complaints
  • complying with any laws, rules, regulations, lawful and binding determinations, decisions or directions of a regulator, or in cooperation with any governmental authority of any country (or political subdivision of a country).
In that regard, Portside Vet Care may disclose Personal Information to:
  • employees and independent contractors that need to know your Personal Information to assist Portside Vet Care in providing its services or to process information on its behalf (in this instance, Portside Vet Care will request that its employees and independent contractors comply with this Privacy Policy).
  • its related entities within and outside of Australia (in this instance, Portside Vet Care will request that its related entities use your Personal Information only for the purpose of performing the function required by Portside Vet Care, and that they comply with this Privacy Policy).
  • service providers performing a range of services as required by Portside Vet Care, such as solicitors, information technology support and insurance providers (in this instance, Portside Vet Care will request that its service providers use your Personal Information only for the purpose of performing the service required by Portside Vet Care, and that they comply with this Privacy Policy).
  • a third party to interpret diagnostics, to order medicines or other goods, to render a tax invoice, for debt collection or to defend itself against any claims of theft and fraud (in this instance, Portside Vet Care will request that the third party use your Personal Information only for the purpose of performing the service required by Portside Vet Care, and that they comply with this Privacy Policy).
  • market research companies undertaking research on behalf of Portside Vet Care that relate to client satisfaction surveys (in this instance, Portside Vet Care will request that the market research company use your Personal Information only for the purpose of performing the service required by Portside Vet Care, and that they comply with this Privacy Policy).
You consent to the use and disclosure of your Personal Information in accordance with the above.
If Portside Vet Care intends on using your Personal Information in a manner other than as described in this Privacy Policy, we will not do so without obtaining your consent.
Your Consent
Other than as described in this Privacy Policy, we do not rent, sell or otherwise disclose your Personal Information to non-related entities or organisations without your prior consent.
By providing your Personal Information, you agree to its use in accordance with this Privacy Policy, collected through one or more of the following methods:
  • communicating with us or by continuing to request our services which includes but is not limited to attending our clinic or making enquiries via internet, email or phone
  • having your veterinarian contact us to request our services, answer queries or book in an appointment on your behalf
  • providing us with your Personal Information in paper-based or electronic forms
  • communicating with us face-to-face
  • information obtained in an exchange of business cards
  • providing us with your contact details for such details to be conveyed to third-party organisations that Portside Vet Care may engage to provide our services
  • visiting our website or participating in an online enquiry
  • entering competitions, promotions, completing surveys or providing feedback
  • visiting any website or social media site established by us, including but not limited to Facebook, Twitter, Pinterest, Instagram, Google+, YouTube, Vimeo and LinkedIn (‘Social Media Site’)
  • participating in any activity on a Social Media Site
  • subscribing to our newsletter/blog.
Can You Access Your Personal Information?
You can find out what Personal Information we have about you by contacting us via email or phone.
If any of your Personal Information is incorrect or out of date, you may request that we amend the information.
How Do We Store Your Personal Information?
Your Personal Information is stored behind firewalls. We use all reasonable efforts to keep your Personal Information secure, accurate and up to date.
You can help to keep your Personal Information secure by ensuring that any username or password provided to you is kept confidential.
We may use cloud storage to store your Personal Information. The cloud storage and the IT servers may be located outside of Australia.
We may disclose your Personal Information to overseas entities that provide support functions to us.
Users in the European Economic Area (‘EEA’)
If you are accessing our website from the EEA, you have rights under the General Data Protection Regulation to:
  • be informed of the use of your personal data
  • access your personal data
  • request correction of your personal data
  • request removal of your personal data
  • object to our use of your personal data

Direct Marketing
We do not provide your Personal Information to other organisations for the purposes of direct marketing.
We may send you direct marketing communications and information about our products and services that we consider may be of interest to you. These communications may be sent in various forms, including mail, SMS, email and fax, in accordance with applicable marketing laws, such as the Spam Act 2003 (Cth).
If you indicate a preference for a method of communication, we will endeavour to use that method whenever practical to do so. In addition, you may opt out of receiving marketing communications at any time by contacting us (see the details below) or by using the opt-out facilities provided in the marketing communications.
Sensitive Information
We will only collect sensitive information about you with your consent. Sensitive information is personal information that includes information relating to your racial or ethnic origin, political persuasion, memberships in trade or professional associations or trade unions, sexual preferences, criminal record or health.
Complaint Handling
If you have any complaints about the way in which your Personal Information is managed by Portside Vet Care, then you should first raise your issue with the representative who is handling your business.
If you are not satisfied with the outcome from the relevant Portside Vet Care representative, you can make a complaint directly to the Directors at info@portsidevetcare.com.au.
If you are dissatisfied with the response of Portside Vet Care, then you may make a complaint to the Privacy Commissioner.
